Analyst Guide

ESCO v5.0 – 07.28.2016 (last updated: 12.12.2018)

Field assessment tool is located at: https://app.formyoula.com/dashboard. Please contact your local ERC for login information and to get set up on your device(s). This is a device-independent form that can be used online or offline.

General Notes

The “ESCO” Home Energy Assessment report relies heavily on your narrative and photos to support what you are seeing as priorities for each customer. There are 28 individual photo slots that you can populate, along with captions that will be front and center for customers to review and take action on. Even when you don’t see a need for a photo, there is probably an opportunity to snap a shot with your tablet or phone and make a useful comment for the homeowner. We’ll call these “teachable moments” – and we strongly encourage you to take these as opportunities to help educate your customers.

Each section also has a “Recommended Action” field – this is your chance to really talk to your customer about their home, and get your main points across. Any comments that you feel are important go here, along with other points that may be outside the scope of the report (i.e.: potential upgrade project challenges, costs, etc.).

A few housekeeping notes:

Close app when not in use! the app will remain running in background, draining your battery. This is in part due to its ability to sync with our database and enable offline use, and not lose any data..

There is a “Show/hide help for this page” checkbox at the top of each page. Tapping this will make your first few assessments much easier. There are some help fields that have critical information such as N-Factors on the Air Sealing tab, and insulation de-rates on the Foundation, Wall and Roof tabs.

Be careful with your data! Pay attention to help notes and input types… The information you collect is very important and is used to model energy savings. We have tried to limit/pre-validate input, but there may be situations where questions come up. Please reach out to your local ERC for help answering any data input questions.

*Data Entry Tip: The voice recognition software on the iPad is now at a place where it is possible to enter your large text areas by dictation. This feature is only available online.

You can show or hide pages in your final report. Near the top of each tab in the assessment tool, you will see a box labeled: “Hide This Page in Report”. By default, pages will always be displayed unless you select “Yes” in the pull-down menu. If you have previously hidden a page, but would now like to make it visible, you must select “No” and re-submit.

The help text on each page of the assessment tool will provide additional detailed support.

Offline access

The tool allows for offline access to complete assessments. Once enabled in the Formyoula app (mobile or desktop), you can lookup ESC accounts even when offline. Keep in mind that this will only connect you to the proper account in our database. Information will only be pre-populated on your form when online. To enable, go to the mobile app Home page, tap the gear icon in the upper right-hand corner of the screen. Under “Salesforce”, tap “On” in the box in the upper right, next to “Offline Lookups”. Turn this feature on when you first set up your iPad. You will notice that there is a refresh icon next to “On”. This can be used when you get back online, but cannot see your customer’s record. You can safely complete your assessment while offline, but we recommend that you pre-populate your form while still online to capture homeowner enrollment information.

Pausing Data Entry or Moving Between Devices

If you are moving between devices (such as tablet to computer), you will need to set “Assessment Stage” to “Assessment In-Progress”, then tap “Submit to ESC” to send the data to our database. Then you may go to your computer and start a new form, entering your customer’s name again. Your partially completed form will pre-populate with your previously submitted data. This is also best practice if you are pausing your data entry to begin working on it at a later time.

If you were not able to submit the data completely, you can also use a saved draft to resume data entry. You will need to tap on the draft to re-open. Once open, tap or click the gear icon in the upper right-hand corner, then select “Edit” to complete your assessment and follow the steps below to “Preview Report”.

Generating the Client Report

Once your assessment is complete and you have entered all the data requested by the Formyoula fields, and you are ready to review the report, set “Assessment Stage” to “Preview Report”, then tap or click the “Submit to ESC” on the Invoice page to receive a draft report within a few minutes via email.

Please review the report at this time to check for typos, errors and formatting issues. If you identify changes you would like to make to the report, return to the form in Formyoula and click the gear icon in the upper right-hand corner, then select “Edit” to make changes within the fields. Save the changes and edits. To generate a new report, you must change “Assessment Stage” from “Preview Report” to “Assessment Complete”, at which time a final report will be emailed to you and should incorporate the changes you made after you had previewed the report. Please note, the report will only be emailed to you once upon each stage, “Preview Report” and “Assessment Complete” so it is important that you feel comfortable with the data as entered prior to setting the final stage as “Assessment Complete.”

Should you need another report generated, please make the edits in the formyoula form, save and contact your ERC to generate and email you an updated report.

The stage, “Assessment Complete” also allows the ERC to submit reimbursement payment to you. Know that the ERC will not submit an invoice to reimburse you for your services until the “Assessment Stage” is set to “Assessment Complete” for the respective assessment.

Photos

Always shoot front of house as landscape, not vertical. This photo presents much better on the final report.

We recommend using the Flir 1 camera attached to your phone or tablet as a convenient time saver. This will alleviate the need to transfer photos from your SIM card to the computer, or Dropbox, etc.

Think about your photo choices as they will appear on the report. Each section has 3 photos across, with 2-line text captions below. We strongly encourage you to take only 3 photos for each tab, with at least one infrared. Take a shot of that water heater that is in pristine condition and talk about how important it is to maintain that piece of equipment with annual flushes/tune ups.

You don’t need to have 3 photos for each page, but you should have at least one. There is almost always a teachable moment… support it with a picture directly from your tablet or phone!

Processing Payments

The following information is specific to the invoice tab and processing payments.

Invoice Tab

There are a couple of important safety fields at the top of this tab. Although a bit out of place, we wanted you to consider them after your assessment was fully completed. These are “Safety Issues” and “Ambient CO”, and both are required fields. Anything noted as a safety issue will be flagged so Energy Smart staff know to followup with the customer on that issue. The BPI action levels for ambient CO are visible in the help text.

Pay close attention to each payment/QF field on the Invoice tab. All of these are required, so just enter “0” if it does not apply. This information was auto-calculated on the old PDF form, but is now mostly in your hands! Be sure that after all required fields are completed, the payment due from the homeowner (Participant Payment) makes sense to you. Using the help text will be critical on your first few assessments!

The following fields are auto-calculated, but will need to be verified by you in the field, as incentives and pricing varies by service area:

  • Quick Fix Labor
  • Participant Payment
  • Total Assessment Cost
  • Payment to Analyst

FAQs:

How long does it take to receive my Home Energy Assessment report once I submit to ESC with Assessment Stage set to “Preview Report” or “Assessment Complete”?
You should receive your completed report within a few minutes. *Note: If you do not receive your report within a few minutes, please notify your local ERC for assistance, as there may be some missing information that is prohibiting report generation.

I don’t like the way my finished report looks. How can I make changes to my Home Energy Assessment report?
We encourage you to set Assessment Stage to “Preview Report” before “Assessment Complete” as “Preview Report” allows a draft report to be sent to you by email. Upon review of the preview report, you may update the information by starting a new form in the Formyoula tool. Enter your customer’s name as before, and you will see their current information displayed on the form. Make your revisions, then select “Assessment Complete” on the Invoice tab. Tap or click “Submit to ESC” as before. You will receive a new report in about 5 minutes. 

Please note, the report will only be emailed to you once upon each stage, “Preview Report” and “Assessment Complete” so it is important that you feel comfortable with the data as entered prior to setting the final stage as “Assessment Complete.” Should you need to make additional edits, please follow the instructions above to make your edits in the formyoula tool, save those revisions, and then contact your local ERC to receive an updated report by email.
