Analyst Guide

ESCO v5.0 – 07.28.2016 (last updated: 09.01.2016)

Field assessment tool is located at: https://app.formyoula.com/dashboard. Please contact your local ERC for login information and to get set up on your device(s). This is a device-independent form that can be used online or offline.

General Notes

The new “ESCO” Home Energy Assessment report relies heavily on your narrative and photos to support what you are seeing as priorities for each customer. There are now 28 individual photo slots that you can populate, along with captions that will be front and center for customers to review and take action on. Even when you don’t see a need for a photo, there is probably an opportunity to snap a shot with your tablet or phone and make a useful comment for the homeowner. We’ll call these “teachable moments” – and we strongly encourage you to take these as opportunities to help educate your customers.

Each section also has a “Recommended Action” field – this is your chance to really talk to your customer about their home, and get your main points across. Any comments that you feel are important go here, along with other points that may be outside the scope of the report (ie: potential upgrade project challenges, costs, etc.).

A few housekeeping notes:

Close app when not in use! Will stay running in background, draining your battery. This is in part due to it’s ability to sync with our database and enable offline use, and not lose any data..

There is a “Show/hide help for this page” checkbox at the top of each page. Tapping this will make your first few assessments much easier. There are some help fields that have critical information such as N-Factors on the Air Sealing tab, and insulation de-rates on the Foundation, Wall and Roof tabs.

Be careful with your data! Pay attention to help notes and input types… The information you collect is very important and is now being used to model energy savings. Using this information for programs like the Home Energy Score can have an impact on someone’s ability to access more desireable mortgage terms. We have tried to limit/pre-validate input, but there may be situations where questions come up. Please reach out to your local ERC for help answering any data input questions.

*Data Entry Tip: The voice recognition software on the iPad is now at a place where it is possible to enter your large text areas by dictation. This feature is only available online.

You can now show or hide pages in your final report. Near the top of each tab in the assessment tool, you will see a box labeled: “Hide This Page in Report”. By default, pages will always be displayed unless you select “Yes” in the pulldown menu. If you have previously hidden a page, but would now like to make it visible, you must select “No” and re-submit.

Offline access

The tool allows for offline access to complete assessments. Once enabled in the Formyoula app (mobile or desktop), you can lookup ESC accounts even when offline. Keep in mind that this will only connect you to the proper account in our database. Information will only be pre-populated on your form when online. To enable, go to the mobile app Home page, tap the gear icon in the upper right-hand corner of the screen. Under “Salesforce”, tap “On” in the box in the upper right, next to “Offline Lookups”. Turn this feature on when you first set up your iPad. You will notice that there is a refresh icon next to “On”. This can be used when you get back online, but cannot see your customer’s record. You can safely complete your assessment while offline, but we recommend that you pre-populate your form while still online to capture homeowner enrollment information.

Pausing Data Entry or Moving Between Devices

If you are moving between devices (such as tablet to computer), you will need to set “Assessment Stage” to “Assessment In-Progress”, then tap “Submit to ESC” to send the data to our database. Then you may go to your computer and start a new form, entering your customer’s name again. Your partially completed form will pre-populate with your previously submitted data. This is also best practice if you are pausing your data entry to begin working on it at a later time.

Once your assessment is complete and you are ready to submit for payment, you may then set “Assessment Stage” to “Assessment Complete”, then tap or click the “Submit to ESC” on the Invoice page to submit for payment. You should receive your completed report within a few minutes via email. *Note: If you selected “HES Score” to be generated, this can take up to an hour to return to you. If there was a problem generating your score, we will contact you as soon as possible to address the issue. This is most likely the reason if you do not receive a report right away.

If you were not able to submit the data you can also use a saved draft to resume data entry. You will need to tap on the draft to re-open. Once open, tap or click the gear icon in the upper right-hand corner, then select “Edit” to complete your assessment.

Photos

Always shoot front of house as landscape, not vertical.. This looks much better on the final report

We recommend using the Flir 1 camera attached to your phone or tablet as a convenient time saver. This will alleviate the need to transfer photos from your SIM card to the computer, or Dropbox, etc.

Think about your photo choices as they will appear on the report. Each section has 3 photos across, with 2-line text captions below. We strongly encourage you to take only 3 photos for each tab, with at least one infrared. Take a shot of that water heater that is in pristine condition and talk about how important it is to maintain that piece of equipment with annual flushes/tune ups.

You don’t need to have 3 photos for each page, but you should have at least one. There is almost always a teachable moment… support it with a picture directly from your tablet or phone!

Home Energy Score (HES)

General Points:

What does the HES mean for you as an analyst?
How does the report recommendations connect with HES and possible HES recommendations.
Asset score (HES) versus ESC report, and what benefits of both are
Information about how it can provide financial incentives to homeowner during re-fi or sale of home etc
How is the completed score being delivered?

Importance of new HES Fields:
Square Footage: This metric is one of the most important to get correct from an energy modeling perspective. Please follow your HES training for this piece. DO NOT rely on assessor database information or homeowner enrollment information (unless they have plans) for this input!
Heating system AFU: This is a very important field for the modeling engine. It is critical that you de-rate the AFUE per your HES training guidelines. Please refer to your HES training materials for detailed guidance on this.
Insulation Values: Perform insulation de-rating as per your HES training, and HES de-rate calculator. An R-19 batt is never equivalent to R-19 – please de-rate accordingly. Also, wall R-values are for cavity insulation only! We will be adding continuous R-values to our tool in our next release for more accurate modeling. For now, just put any continuous R-values into the Recommended Action field.

Assessment Tool

Please refer to the Help text on each page of the assessment tool for detailed support. The following information is specific to the invoice tab and processing payments.

Invoice Tab

There are a couple of important safety fields at the top of this tab. Although a bit out of place, we wanted you to consider them after your assessment was fully completed. These are “Safety Issues” and “Ambient CO”, and both are required fields. Anything noted as a safety issue will be flagged so Energy Smart staff know to followup with the customer on that issue. The BPI action levels for ambient CO are visible in the help text.

Pay close attention to each payment/QF field on the Invoice tab. All of these are required now, so just enter “0” if it does not apply. This information was auto-calculated on the old PDF form, but is now mostly in your hands! Be sure that after all required fields are completed, the payment due from the homeowner (Participant Payment) makes sense to you. Using the help text will be critical on your first few assessments!

The following fields are auto-calculated, but will need to be verified by you in the field, as incentives and pricing varies by service area:

  • Payment to Analyst

Base Assessment Cost:

  • Eagle/RFV: $300 + $50 (CAZ) + $50 (HES)
  • Steamboat: $300 + $100 (HES)
  • Excess Is Out (all other areas): $300 + $50 (HES)

Electric Utility Copays:

  • City of Aspen Electric: $150 for all homes + $50 QF (replaces gas copay)
  • Holy Cross Energy: $150 for electrically heated + $0 QF
  • Glenwood Springs Electric (electric heat): $150 for electrically heated + $50 QF
  • Glenwood Springs Electric (gas heat): $50 for gas heated + $50 QF
  • La Plata Electric Association: $150 for all homes + $0 QF
  • Xcel Energy: $200 for all homes + $0 QF
  • Yampa Valley Electric Association: $150 for all homes +$0 QF

Gas Utility Copays:

  • Atmos Energy: $150 + $50 QF
  • Black Hills:$150 + $50  QF
  • CNG: $150 + $50 QF
  • Xcel Energy: $200 for all homes + $0 QF
  • All others including propane: $0

 

FAQs:

How long does it take to receive my Home Energy Assessment report once I submit to ESC with Assessment Stage set to “Assessment Complete”?
If you are not generating a HES Score, you should receive your completed report within a few minutes. If you checked “Generate Home Energy Score”, it will take about 1 hour to receive your completed report, including time to generate the HES Score. *Note: If you do not receive your report in the times above, please notify your local ERC for assistance, as there may be some missing information that is prohibiting report generation.

I don’t like the way my finished report looks. How can I make changes to my Home Energy Assessment report?
You may update your completed report by starting a new form in the Formyoula tool. Enter your customer’s name as before, and you will see their current information displayed on the form. Make your revisions, then select “Assessment Revised” on the Invoice tab. Tap or click “Submit to ESC” as before. You will receive a new report in about 5 minutes.

I selected to hide a page in my report, then submitted my assessment. When I go back into update my In-Progress assessment, all the hidden page settings are set to “None”?
The way our database is designed, it can’t update the field tool with this value. We plan to fix in a future release. If you are unsure of what the page visibility is set to on any particular page, simply re-select whether to hide or show each page, then re-submit as “Assessment In-Progress”.
